Payroll Processing Guidelines for New Faculty, Students, and Staff
IMPORTANT NOTICE:
We utilize a service called DocuSign for sending and processing forms. However due to limitations and the need for actual signatures, some forms will be sent as a DocuSign form, but you will need to print, sign, and or hand-deliver the forms to our office. These forms will be noted with a * and noted in the memo within each DocuSign.

- I-9 Employment Verification – Sent by email from UMBC Human Resources (HR) via DocuSign
The I-9 is an easy form to complete. However, it is the documentation that you need to present in conjunction with the form that this process becomes problematic. But don’t stress, we have you covered in the I-9 processing step below.

- Complete the I-9 DocuSign sent to you. You will complete section 1 of the form.
- View the following I-9 website: https://www.uscis.gov/i-9-central/form-i-9-acceptable-documents
- Confused after visiting the I-9 Central website? No worries. You’ve got this.
You choose one (1) document from List A
OR <–
You choose one (1) document from List B AND one (1) document from List CExample
A U.S. passport would satisfy the requirements of the I-9 form using only a document from (List A)
OR <–
A drivers license AND social security card would satisfy the requirements of the I-9 form using documents from (List B) and (List C)
- Ok. Now that you have your documents, you now need to present those documents in-person to a DPSHR staff member or designated official. Designated officials can only be used if you are working 100% off-campus. Based on the information provided in the Data Collection form, we will email you on setting up an I-9 verification meeting.

- Substance Abuse Signature Sheet – Sent as a DocuSign form
- * Direct Deposit – Sent as a DocuSign form but returned as a signed hard copy (Forms can be printed and signed at the time of the I-9 verification process)
- * W-4 and MW-507 Tax Forms – Sent as a DocuSign form but returned as a signed hard copy (Forms can be printed and signed at the time of the I-9 verification process)
For International Employees:
Other forms may be needed in order to process your payroll and HR Paperwork depending on your visa status. Any additional forms will be sent through DocuSign or Glacier Tax System.
