Hiring Faculty for Summer/Winter Sessions

“Summer/winter new hires” defines instructors who are brand new to UMBC and are teaching at the university for the first time during a summer or winter session.

New Faculty Hired within Academic Departments

The department or administrative office that initiates and manages the hiring process for a new instructor becomes the primary affiliation for that instructor throughout their association with UMBC. If a new instructor is likely to teach for an academic department for more than one semester, it is highly recommended that the academic department initiates and manages the hiring process for that instructor. This ensures a greater degree of accuracy in PeopleSoft, creates a defined faculty identity within the appropriate academic department, and alleviates potential issues with system access, directory identification, and campus mail delivery.

A new instructor must be added to the academic department’s faculty table in PeopleSoft before OSWP can issue a teaching contract for that instructor for the summer or winter term. Once an instructor completes the required HR paperwork, and the academic department authorizes him/her to be added as a faculty member in that department’s faculty table in PeopleSoft, an instructor’s name will be added to the summer or winter schedule of classes, and this will then trigger the OSWP faculty contract system to generate a summer or winter teaching contract for that instructor.

For a step-by-step guide to the hiring process for regular faculty and/or part-time adjunct faculty, please refer to the Hiring Overview section of the Toolkit for Administrative Professionals. You can access the required HR Paperwork here or also visit the UMBC HR website for additional information and required forms.

New Faculty Hired by the Office of Summer & Winter Programs (OSWP)

If an academic department appoints a new faculty member who is likely to teach for only one single summer or winter term, the department may request that the OSWP initiates the new instructor hiring process for that term.

If you need assistance from our office in hiring new faculty for summer or winter sessions, please send an Appointment Letter signed by the Department Chair. This Appointment Letter must include the new instructor’s name, rank, email address, teaching term, and course(s) being taught. Please submit this letter to OSWP via RT. Once OSWP receives this appointment letter, our office will contact the instructor and begin the hiring process. Feel free to use our Appointment Letter Template.

Faculty Teaching Load

During summer session, faculty are permitted to teach up to four classes (two maximum in Session I and two maximum in Session II). During winter session, faculty are permitted to teach no more than two courses.

Summer and winter session teaching appointments are not considered part of the regular academic course teaching load.
